Why Do We Require a Contract for Loaning Samples?

At TRAFFIK, our goal is to facilitate a mutually beneficial relationship between our clients— independent European fashion designers— and talented stylists like you. Our experience has taught us that clarity and boundaries are essential for success. Here’s why we ask stylists to sign a contract before loaning samples:

  1. Setting Clear Expectations: The contract is designed to set clear expectations about the use, care, and return of the samples. This helps ensure that both parties understand their responsibilities and can work together effectively.
  2. Preventing Misuse: We’ve encountered situations where samples intended for one project were used for another, without benefiting our clients or being featured on relevant platforms. The contract helps prevent such misuse, ensuring that samples are used as agreed upon.
  3. Ensuring Timely Returns: Sometimes, samples are not returned within the agreed timeframe, affecting other stylists' access to these pieces. The contract outlines specific return policies to prevent delays and ensure all stylists have access to our extensive collection.
  4. Maintaining Sample Quality: We’ve had instances of samples being returned in poor condition, making them unusable for future projects. The contract emphasizes the importance of maintaining the quality of samples, so they continue to be a valuable resource for stylists and clients alike.
  5. Fostering Trust and Efficiency: Our contract is the result of learning from past experiences to create a system that fosters trust, respects all parties involved, and ensures the efficient trafficking of samples. It’s about preserving our clients’ interests while providing stylists with access to high-quality samples in good condition.
  6. Rating System: We utilize a rating system, similar to Uber, to build a community of trust and respect. While we don’t take a hold on the card for first-time collaborations, understanding and abiding by our guidelines is appreciated. And if your rating goes under 4 stars, we will take a hold until your rating goes back above 4 stars. You can ask us about your rating or find it on the sample loan contract.

Contract Delivery and Signing Process

To streamline the process and ensure all parties are on the same page, the contract will be sent electronically via Adobe Sign ([email protected]). It is mandatory for the contract to be signed before any samples can be picked up or shipped out. This ensures that all terms and conditions are agreed upon in advance, safeguarding the interests of both TRAFFIK and the stylists.

In cases where the stylist in charge and their assistant(s) do not share the same domain name, the stylist in charge is responsible for signing the contract. This policy does not apply to generic domain names such as gmail.com, yahoo.com, icloud.com, me.com, aol.com, etc. The rationale behind this is to streamline the verification process and address insurance requirements effectively.
